Directory Listing

This report is a list of all currently active families. This list contains the name, address, phone number, unit number, age and social security number. You can choose to run this report for only the head of household or for the head and all dependents. This report may also be limited to a single project or all projects, a single caseworker or all caseworkers or a single management code or all management codes.

Re-exam Listing

This is a list of all families based on their Next Exam Effective Date. This is used to list out all families that need to start their annual re-certifications. Normally you will run this for a date range that is 90 – 120 days in the future. You may also want to run this report for All Dates, in effective date order to verify that you have not missed any annual re-certifications or entered invalid dates for the next re-certification schedule. This report may also be limited to a single project or all projects, a single caseworker or all caseworkers or a single management code or all management codes.

Link Listing

This is a list of all Rent Changes that have been processed for a specific date range. Usually this is a list of all changes effective next month, but you can also select a specific range of dates or all entries in the table. Running this for all dates is usually done in effective date order and looking at the end of this report to determine if any invalid dates have been accidentally entered. This report may also be limited to a single project or all projects, a single caseworker or all caseworkers or a single management code or all management codes.

Age

This is a list of all family members and their ages as of the current rent change effective date. This will list all household members where their birth date is within a specified date range, all dates, or those with a birthday in a specific month. This report may also be limited to a single project or all projects, a single caseworker or all caseworkers or a single management code or all management codes.

Impairment

This is a list of all family members that have impairments checked. You may list all with a specific impairment or all impairments or combination of impairments. The program has 5 pre-defined impairments and there are slots for 5 user defined impairments that can be listed here. You may list all family members or all except the head of household. This report may also be limited to a single project or all projects, a single caseworker or all caseworkers or a single management code or all management codes.

Assistance Payment

This report shows the Social Security Number, Head of Household name, Unit Number, Effective Date of current rent amount, Bedroom size, Contract Rent, Tenant Payment, and HAP amount. While this report can be run for Public Housing families, it is best if used for Section 8 assisted families. This report may be used to list only those families with Zero HAP. This report may also be limited to a single project or all projects, a single caseworker or all caseworkers or a single management code or all management codes.

Last Inspection

This report should be used for Section 8 assisted families. This report lists the head of household, address, last inspection date and last passed inspection date. It can be run for all dates or for a range of inspection dates. By leaving the first date field blank and entering the ending date field with a date from a year ago today, you can list all households where the annual inspection is late. This report may also be limited to a single project or all projects, a single caseworker or all caseworkers or a single management code or all management codes.

Community Service

This report is designed for Public Housing assisted families that are required to report for Community Service tracking. This will list all head of household’s that are between the ages of 18 and 62 as of the report date, that have no earned income, and are not disabled. This report may also be limited to a single project or all projects, a single caseworker or all caseworkers or a single management code or all management codes.

Move In/Move Out

This is a list all families that moved in or out during the specified date range. This report may also be limited to a single project or all projects, a single caseworker or all caseworkers or a single management code or all management codes.

FSS/WTW Follow-up

This is a listing that provides a detail list of all documentation entered into this tracking system for a specified date range. Within the FSS tracking system, you can document different types of communication with or from the client. This report may be printed for all actions or just those communications flagged as needing a follow-up. This report may also be limited to a single project or all projects, a single caseworker or all caseworkers or a single management code or all management codes.

Zero Income

This is a list of all families that have reported zero income. This report may also be limited to a single project or all projects, a single caseworker or all caseworkers or a single management code or all management codes.

Discrepancy Report

This report is specific to the Section 8 HCV data. This report will list every head of household record in the Occupancy data that has differences with the Section 8 check writing system. It will list each field that does not match between the rent calculation system and the checks. This report may also be limited to a single project or all projects, a single caseworker or all caseworkers or a single management code or all management codes.

FSS Tenant Listing

This is a list of all families that are now or ever have been FSS participating tenants. It can be limited to only families flagged as a current enrollment, progress report, or exit report. It can print everyone or all that were participants during a specified date range. This report will show the names and addresses of all participants.

FSS Activity Report

This is a list of all families that are now or ever have been FSS participating families. It can be limited to only families flagged as a current enrollment, progress report, or exit report. It can print everyone or all that were participants during a specified date range. This report shows the initial enrollment data, dates of participation, escrow balances, and calculated monthly transfer amount into the escrow account.

eTrans Tab

Listing of eTrans

This is a list of all eTrans records created for a specified date range. An eTrans record is the data being submitted to PIC. This report may also be limited to a single project or all projects, a single caseworker or all caseworkers or a single management code or all management codes.

eTrans Status

This is a list of all eTrans records for a specified date range and the current status of each. If the record has been submitted to PIC, it will show the date of submission.

Listing of Missing eTrans

This is a list of all certifications that do not have an eTrans record with the same effective date, thus implying that the eTrans record was not created.

Statistics Tab

Tenant Statistics

This report summarizes all of your currently housed families and groups/totals by specific categories. This will show the total families that have a male or female head of household, grouped by the head of household race and ethnicity, single vs. family households, and by bedroom size. The information provided is an average Tenant Rent, HAP if run for your Section 8 families, Monthly and Gross income reported for each of the categories listed. This report is real time and is a snapshot of how it is at the time the report is run. You can list the detail records that are summarized or just the summary. This report may also be limited to a single project or all projects, a single caseworker or all caseworkers or a single management code or all management codes.

Income Analysis

This report summarizes all income reported by type showing the number of income records for each type, the total income reported and the average by type. This report may also be limited to a single project or all projects, a single caseworker or all caseworkers or a single management code or all management codes. You can list the detail records instead of the summary.

Age Demographics

This report summarizes all household members by age. It can be listed in detail or just the total number of household members for each age. This report may also be limited to a single project or all projects, a single caseworker or all caseworkers or a single management code or all management codes.

HUD-51234

This is the HUD Report on Occupancy form. You can select which Projects to include in this report and on which date to evaluate the occupancy records.

Move In

This report shows all families that moved in during a specified date range. You may select one or any combination of projects or developments to report. This report can be run for a single or all caseworkers, as single or all management codes.

Transfer Moves

This report shows all families that transferred to a different unit during a specified date range. You may select one or any combination of projects or developments to report. This report can be run for a single or all caseworkers, as single or all management codes.

Move Out

This report shows all families that moved out during a specified date range. You may select one or any combination of projects or developments to report. This report can be run for a single or all caseworkers, as single or all management codes.
